Privacy Policy

We collect personal data that you provide to us, that is generated through your participation, or that we receive from venue and operating partners. Categories include:

• Registration data submitted via Luma — name, work email, organization, role, organization type, LinkedIn or company profile, reasons for interest, interpretation needs, dietary restrictions.
• Telegram bot interactions — handle, expressed interests (speaker / sponsor stream).
• On-site data — name badge data, photographs (with opt-in), session attendance logs.
• Communications — emails and messages exchanged in connection with the Event.
• Where you request an invitation letter for a visa application: passport name, nationality, passport number and expiry, date of birth, travel dates and accommodation. Collected by email after approval, never through the registration form.

• Reviewing applications and curating the invitee list.
• Event operations including registration, security, and logistics.
• Communications related to the Event (invitations, agenda updates, post-event materials).
• Compliance with applicable laws (e.g., Japanese tax and corporate record-keeping).

Under the Act on the Protection of Personal Information (APPI) and other applicable laws, we rely on the following bases:

• Your consent (application submission, recording / photography opt-in).
• Legitimate interest (event security and operations).
• Legal obligation (record retention).

• Operating partners — only where necessary, and pseudonymized where possible.
• Venue partner — for badging and access-control purposes only.
• Third-party service providers, namely Luma (registration), Telegram (speaker and sponsor enquiries) and Netlify (site hosting), operating under their respective privacy policies.
• We do not sell personal data and do not share it for third-party marketing.

Some data is processed outside Japan by service providers (Luma, Telegram and Netlify, in the United States and elsewhere). Where required, transfers are governed by appropriate safeguards in accordance with APPI and other applicable laws.

Retention periods by category:

• Registration and application data — 24 months from the Event date, then deleted or anonymized.
• Correspondence about the Event — 24 months from the Event date.
• Photographs and recordings published as event material — retained while in use. Where a participant is identifiable, we remove the material on request.
• Records required for tax or accounting — for the period required by law.
• Passport data provided for an invitation letter — deleted once the letter has been issued.

Subject to APPI and applicable law, you may request access, correction, deletion, restriction, or withdrawal of consent regarding your personal data. Contact contact@fracton.ventures to exercise these rights.

We implement reasonable technical and organizational measures to protect personal data. No system is fully secure; material incidents are reported in accordance with applicable law.

This site sets no cookies and runs no analytics or tracking scripts. Our hosting provider (Netlify) records standard server logs, including IP address, for security and reliability. Registration on Luma and enquiries on Telegram are governed by those services' own cookie and tracking practices.

We may update this Policy. Material changes will be communicated to applicants and attendees through appropriate channels.
